Opportunity: Become a Project Coordinator for the Fujimura Institute Gathering–part time/remote work!

Are you a detail-oriented student looking for hands-on experience in high-level event production? This is a unique opportunity to work with Mako Fujimura ’83, P’13, a member of the Bucknell University Board of Trustees, on an upcoming major initiative.We are looking for a dedicated Project Coordinator to support the planning and execution of the Fujimura Institute Gathering. This is a project-based contractor role that offers the chance to work closely with the Fujimura Institute Director and manage logistics for a multi-day conference in Princeton, NJ.Important: The application deadline is February 25, 2026.

Role Overview

Position: Project CoordinatorType: Independent Contractor (Part-time)Location: Remote (except during on-site Gathering dates in Princeton, NJ)Reporting to: Fujimura Institute Director (or designee)

Scope of Services

The role is divided into two phases, aligning with the project’s development and execution:

PHASE I: Pre-Gathering Planning & Coordination

Timeline: March 1 – September 16, 2026 (Remote) | Stipend availableLogistics: Manage registration and attendee tracking; research and manage vendors (catering, A/V, lodging, etc.).Speaker Support: Coordinate travel, scheduling, and hospitality for speakers and performers.Administration: Maintain timelines, task lists, and project documentation; track expenses and assist with bookkeeping coordination.Communications: Draft logistical updates for attendees, speakers, vendors, and partners.

PHASE II: Gathering Execution & Close-Out

Timeline: September 17 – December 20, 2026 | Stipend availableOn-Site Support (Sept 17-20, Princeton, NJ): Coordinate vendor arrivals and setup; serve as a point of contact for speakers and volunteers; assist with venue preparation and run-of-show execution.Post-Event Production: Assist with follow-up communications, catalog production, and asset organization.Financial Close-Out: Ensure all administrative and financial tasks are completed and documented.

Success Criteria & Out of Scope

The engagement is successful if the Gathering is executed smoothly, stakeholders are supported, and all administrative tasks are closed out.Please note that this role focuses on logistical and administrative support.
